How we get your information:
Most of the personal information we process is provided to us directly by you for one of the following reasons:
You have made a complaint or enquiry to us.
You have made an information request to us.
You wish to attend, or have attended, an event.
You have applied for a job or secondment with us.
You are representing your organisation.
When you visit, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out such things as the number of visitors to the various parts of the site. This information is only processed in a way that does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.
If we do collect personal data through our website, we’ll be upfront about this. We’ll make it clear when we collect personal information and we’ll explain what we intend to do with it.
When you fill in a contact form via our website, we are sent your details via a team email address. Only specified and necessary people have access to this.

Where we provide links to websites of other organisations, this privacy notice does not cover how that organisation processes personal information. We encourage you to read the privacy notices on the other websites you visit.
Email addresses and communication
Douglas Knowledge Partners may have corporate email addresses in its email system or data files that are acquired through clients who have provided email addresses for research purposes.
Douglas Knowledge Partners uses email as a means of communicating with known clients and customers. You always have the option to opt out of this.
No method of transmission over the internet, nor method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect personal information, we cannot guarantee its absolute security.
Your data protection rights
Under data protection law, you have rights we need to make you aware of. The rights available to you depend on our reason for processing your information.
Your right of access: You have the right to ask us for copies of your personal information. This right always applies. There are some exemptions, which means you may not always receive all the information we process.

If we are processing your information for criminal law enforcement purposes, your rights are slightly different.
You are not required to pay any charge for exercising your rights. We have one month to respond to you.
Sharing your information
We will not share your information with any other organisations for the purposes of direct marketing.
We sometimes work with partners who provide elements of services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct.
In some circumstances, we are legally obliged to share information. For example under a court order or where we cooperate with other European supervisory authorities in handling complaints or investigations. In any scenario, we’ll satisfy ourselves that we have a lawful basis on which to share the information and document our decision making and satisfy ourselves we have a legal basis on which to share the information.
Access to Douglas Knowledge Partners data
Only authorized Douglas Knowledge Partners employees, vendors, contractors or partners carrying out authorized business functions are permitted to access Douglas Knowledge Partners databases.
Douglas Knowledge Partners is committed to keeping personal data secure and will take all reasonable precautions to protect personal information from loss, misuse or alteration. Data stored on internal network servers are protected by firewalls and other appropriate security mechanisms. All personal data is securely deleted after the research project is completed (typically after six months).

Who is collecting the data?
Douglas Knowledge Partners is an independent knowledge consultancy. Data collected will be accessible by our team members, but no one else without your express permission.
How are the data collected?
Your personal data may be collected directly from a brand (who you will have given consent for sharing for the purposes of market research already), or it might be collected directly from you by us.
Why are the data being collected?
We will only collect relevant data where it is necessary. For instance, when conducting telephone or face-to-face interviews it may be essential that we have your name, number, email address or work address in order to contact you and conduct the interviews.
We may collect data to pass back to our end client who wishes to contact you again in the future, perhaps with the results of the research carried out.
There are a number of reasons that we might collect personal data from you but in each instance, it will be the minimum amount required and will be collected and shared only with your consent after you have been informed of its specific use.
How will the data be used?
Data will be used by Douglas Knowledge Partners to contact research participants, carry out interviews and reimburse with incentives (where relevant). Occasionally data will be passed onto our end clients (with your permission) so that they can use it to contact you again. Specific uses will be outlined at the point of data collection, where you can opt into providing the data or not.
How will the data be shared?
We will only share information associated with your name with your consent, unless otherwise legally obliged to do so. Information might be shared with our end clients who will use the data as specified to you on collection. We might also share your data with recruitment agencies who will contact you on our behalf.
